WhatsApp Business: the guide for businesses, from the basics to managed sales

WhatsApp Business is the channel your customers are already in, but an app doesn't sell on its own. What WhatsApp Business is, how it differs from the API, and how to turn it into a managed sales channel end to end.

WhatsApp Business: the guide for businesses, from the basics to managed sales

WhatsApp Business is the channel your customers are already in, and where they prefer to write. If you're here, you're either considering it for your business or already using it and sensing you're not getting everything out of it. This guide does two things: explains what WhatsApp Business is and the distinctions that matter, then shows where the line runs between "we have WhatsApp Business" and "WhatsApp Business that actually sells".

What WhatsApp Business is

WhatsApp Business is the version of WhatsApp built for businesses. On top of regular WhatsApp it adds a business profile (hours, address, website), greeting messages and basic auto-replies, labels for organizing conversations, and a product catalog. The goal is simple: give the business an orderly presence in the channel where customers already talk.

The app vs. the Business Platform (API)

This is the most important distinction to understand, because it decides what you can do:

  • The WhatsApp Business app is built for manual replies at small scale, for a business that handles its own conversations.
  • The Business Platform (WhatsApp Business Platform / API) is built for scale: multiple reps, automation and integration with your systems, and it's the layer real sales management runs on.

Registration details, verification and platform terms change from time to time; for specifics, check Meta's official documentation. The simple rule: if you're a small business handling conversations yourself, the app is enough. If you want scale, automation and management, you're in Platform territory.

What WhatsApp Business doesn't do: it doesn't sell

Here's the part most businesses discover late: an app doesn't sell. WhatsApp Business gives you a profile, a catalog and basic auto-replies, but it doesn't answer the customer who wrote at ten at night, doesn't discover the need, doesn't handle the objection, and doesn't send the follow-up someone forgot. The channel is tidy; the sale still depends on someone being available, remembering, and moving things forward. And as inquiries pile up, that's exactly where they start to leak.

From WhatsApp Business to managed sales

The next step is turning the channel from "the place we answer" into a managed sales channel. Instead of manual replies or an automated menu, an AI agent manages the conversation on WhatsApp: answers immediately at any hour, discovers the need, handles objections, follows up, and drives to close. In some cases it closes and takes payment inside the conversation. The channel stays the one your customer knows; what changes is that behind it sits a system managing the path to close, not just a business profile.

And it works beyond WhatsApp too: the same management layer holds Instagram, Messenger and TikTok. WhatsApp first, but not WhatsApp only.

What about the policy

Before rushing in, there are rules. Meta defines what you may send on WhatsApp Business: prior consent (opt-in), a reply time window, and approved templates for proactive outreach. Working the channel properly starts from those rules, not around them. We go deeper in Meta policy and conversational AI agents.

As for the division of labor: even in a channel this strong, not everything runs on its own. Roughly 10-20% of deals close autonomously end to end, and roughly 80-90% reach the human rep ready to close. WhatsApp Business is the starting point; managed sales are the destination.

Frequently asked questions

What is WhatsApp Business? WhatsApp Business is the business version of WhatsApp: a business profile, basic reply tools and a catalog. There's the WhatsApp Business app, suited to small businesses, and the Business Platform (API) for businesses operating at larger scale.

What's the difference between the WhatsApp Business app and the API? The app is built for manual replies on one or two devices, and works for a small business. The Business Platform (API) is built for scale: multiple reps, automation, and integration with your systems. Managed sales at scale run on the Platform, not on the app.

Is WhatsApp Business enough to sell? WhatsApp Business gives you the channel and the basic tools, but an app doesn't sell on its own. Turning it into a sales channel takes a management layer: immediate replies, need discovery, follow-up and driving to close. The channel is familiar; the management is what's new.

What are you allowed to send on WhatsApp Business? Meta sets the rules: prior consent (opt-in), a reply time window, and approved templates for proactive outreach. Working inside those rules matters. We cover this in depth in our article on Meta policy and conversational AI agents.
